An appointment reminder message is what stands between a booked slot and an empty chair. Clinics, dentists, salons, aircon and pest control teams all send one, and the common trap is a reminder that only says "see you tomorrow". It gives the customer no easy way to say they can't come, so they simply don't turn up. A good reminder asks for a reply, makes rescheduling one tap, and carries the prep the visit needs, like fasting before a blood test. This page has 11 templates for the 24-hour reminder, the 2-hour reminder, replies to confirm or reschedule, prep notes and the no-show follow-up, with four in Bahasa Malaysia.

When to send it
The 24-hour reminder does most of the work, so send it at a time people actually read messages: late morning or after lunch, not 7am. The 2-hour reminder should be one line. For home service visits, replace the 2-hour message with an "on the way" message that names the technician. Send prep instructions with the 24-hour reminder, not on the day, because "no food after midnight" is useless at 8am. After a no-show, follow up the same afternoon while the slot is still fresh in both your minds.
1. 24 hours before, clinic
Use for a general clinic or specialist visit. Ask for a one-word reply.
You → customer
Hi [Name], a reminder of your appointment with [Dr Lim] tomorrow, [Wed 15 Oct] at [10.30am], at [Klinik Setia, Bangsar]. Please bring your IC and any medication you're taking. Reply 1 to confirm or 2 to reschedule.
2. 24 hours before, dental with prep
Use when the visit needs the patient to do something first.
You → customer
Hi [Name], see you tomorrow at [3pm] for your [scaling and polishing] with [Dr Tan]. Please brush before you come and arrive 10 minutes early to update your medical form. If you're on blood thinners, let us know today. Reply 1 to confirm, 2 to change.
3. Fasting blood test
Use the evening before. The timing is the whole point.
You → customer
Hi [Name], your blood test is tomorrow at [8.30am]. Please don't eat after [10pm] tonight. Plain water is fine. Take your usual medication unless the doctor said otherwise. Reply OK so I know you've seen this.
4. 24 hours before, salon
Use for longer services where a late arrival pushes the whole day.
You → customer
Hi [Name], see you tomorrow at [11am] with [Aina] for your [keratin treatment], about 2.5 hours. Please come with dry, unwashed hair. Running more than 15 minutes late means we may need to shorten the service. Reply 1 to confirm or 2 to reschedule.
5. Service visit at home
Use for aircon servicing, pest control or repairs, where someone must be home.
You → customer
Hi [Name], our team is coming tomorrow, [Thu 16 Oct], between [9am and 11am] to service [3 aircon units] at [address]. Please make sure someone is home and the units are reachable. Cost [RM270], pay by cash or QR after the job. Reply 1 to confirm or 2 to change.
6. 2 hours before
Use as the short nudge on the day. One line is enough.
You → customer
Hi [Name], see you at [10.30am] today at [Klinik Setia]. Parking is behind the building.
7. Technician on the way
Use instead of the 2-hour reminder for home visits.
You → customer
Hi [Name], [Faiz] is on the way and should reach you around [9.40am]. He's in a white van, plate [WXY 1234]. His number is [012-345 6789] if you need him.
8. They reply to confirm
Use as a short closing reply, so the customer knows it landed.
You → customer
1
Thanks [Name], you're confirmed for tomorrow [10.30am].
9. They want to reschedule
Use when they reply 2. Give two real options so the next reply settles it.
You → customer
2, sorry got meeting
No problem. I have [Fri 17 Oct, 9am] or [Mon 20 Oct, 4.30pm] with [Dr Lim]. Which one suits you?
Fri
Done, see you [Fri 17 Oct, 9am]. Tomorrow's slot is released.
10. No-show, same day
Use the afternoon of a missed appointment. No blame.
You → customer
Hi [Name], we missed you at [10.30am] today. Hope all is well. Would you like to rebook? I have [Thu 11am] or [Sat 9.30am] this week.
11. Second no-show, with the policy
Use when the same customer has missed before and your policy has a fee.
You → customer
Hi [Name], we missed you again today. As mentioned when you booked, a second missed appointment means a [RM30] fee, paid when you next visit. To keep your next booking, please reply 1 the day before so we can hold the slot for you.

What not to send
A reminder with no way to say no. People who can't come will stay silent rather than write a paragraph.
Prep instructions on the morning of the visit. Fasting and "stop this medicine" notes need a night's notice.
Diagnoses or test results in the reminder. Lock screens show previews and phones get shared.
"You didn't show up" as the opening line after a no-show. It ends the conversation instead of rebooking the slot.
A fee nobody was told about. Mention it in the booking confirmation first, or don't charge it.
Stop typing these by hand
Cupbots runs on your own WhatsApp number. It takes orders, sends invoices with a pay-link and
answers "any update?" in the chats you already use, so messages like these go out on time
without you.
How many hours before an appointment should I send a reminder?
Send one about 24 hours before and a short one 2 hours before. The 24-hour message gives the customer time to reschedule and you time to fill the slot. The 2-hour message catches people who forgot. For appointments booked weeks ahead, such as a dental cleaning, add one a week before.
What if the patient does not reply to the reminder?
Call them, or send a second short message the morning of the appointment. Do not cancel the slot on silence alone unless your booking terms say you will. Note who never replies: those are the people worth a phone call next time.
Is it okay to mention the treatment in a WhatsApp reminder?
Keep health details out unless the patient chose WhatsApp for this and the prep needs it. "Your appointment with Dr Lim" is enough. Family members often share phones, and lock screens show message previews. Fasting instructions are fine; a diagnosis is not.
How do I follow up after a no-show without sounding angry?
Assume something came up, offer two new slots, and state any fee as a fact from your policy. Send it the same day. Customers who missed by accident usually rebook if the message is easy to answer. A message that opens with blame rarely gets a reply.
