Booking confirmation message

A booking confirmation message is the first thing a customer reads after they book with you, and it is the message they scroll back to on the day. Salons, tour operators, homestays, class studios and restaurants all send one, and most get it half right: the date is there, but the deposit status, the cancellation rule or the way to find the place is missing. That is where the no-shows and the arguments come from. This page has 10 templates split by stage: deposit requested, booking confirmed, directions, the day-before check, and a change or cancellation. Each one fits a different business, and four come in Bahasa Malaysia.

When to send it

Send the confirmation within minutes of the booking, while the customer still has the chat open. If you take a deposit, send two messages: a hold with the payment details, then the real confirmation once the money arrives. Never confirm a slot you are still holding for a deposit. Directions go in a separate message so the customer can find them later without scrolling past prices. Then send one short check the afternoon before. For bookings made months ahead, like a homestay or a tour, add a reminder one week out with what to bring.

1. Slot held, deposit needed (salon)

Use when the treatment is long enough that a no-show hurts.

You → customer
Hi [Name], I've held [Saturday 18 Oct, 2pm] for your [balayage with Mei]. It takes about 3 hours. To lock it in, please pay a [RM50] deposit to [bank / DuitNow QR] by [tomorrow 6pm] and send the receipt here. After that the slot goes back on the list.

2. Deposit received, booking confirmed

Use the moment the deposit lands. Restate everything in one place.

You → customer
Got your [RM50], thank you! Your booking is confirmed:
[Balayage] with [Mei], [Sat 18 Oct, 2pm-5pm]. Balance [RM230] payable on the day. Free reschedule up to 24 hours before. Inside 24 hours the deposit is kept. See you then!

3. Restaurant table, no deposit

Use for a regular table booking where the risk is a late arrival, not a no-show fee.

You → customer
Hi [Name], table for [6] confirmed on [Fri 17 Oct, 7.30pm] under [Name]. We hold the table for 15 minutes, so do message if you're running late. Need a high chair or a cake slot in the fridge? Just let me know here.

4. Group or private tour

Use when the booking has a pickup point and a headcount that matters.

You → customer
Hi [Name], your [Kuala Selangor fireflies tour] is confirmed for [4 adults, 1 child] on [Sat 25 Oct]. Pickup [5.15pm] at [hotel lobby]. Paid: [RM600] of [RM900], balance in cash to the guide. Bring insect repellent and wear closed shoes. Booking ref [TR-2210].

5. Homestay or short stay

Use for stays where check-in times, house rules and the deposit refund need to be clear before arrival.

You → customer
Hi [Name], your stay at [Rumah Kayu Bentong] is confirmed: check-in [Fri 31 Oct, 3pm], check-out [Sun 2 Nov, 12pm], [8 guests]. Total [RM1,200] paid. A [RM200] damage deposit is refunded within [3 days] after check-out. No pork or alcohol in the house, and quiet hours start at 11pm. I'll send the address and door code the day before.

6. Class or workshop seat

Use for group classes where the customer needs to know what to bring and when to arrive.

You → customer
Hi [Name], you're in! [Beginner pottery], [Sun 19 Oct, 10am-12pm], [1 seat], [RM120] paid. Arrive 10 minutes early and wear clothes that can get muddy. Pieces are fired and ready to collect in 2 weeks. Can't make it? Tell me 48 hours before and I'll move you to another date.

7. Directions and parking

Use as a separate message right after the confirmation, or the day before.

You → customer
How to find us: [pin link]. We're on the 1st floor above [7-Eleven], lift beside the pharmacy. Parking at [Jaya One basement B2], or street parking via [Flexi Parking app]. If you're stuck, call [012-345 6789].

8. The day-before confirm

Use the afternoon before. Ask for one word back.

You → customer
Hi [Name], see you tomorrow [2pm] for your [balayage]! Please reply YES to confirm. If something's come up, tell me now and I'll find you another slot.
YES see you
Perfect, see you tomorrow.

9. Customer asks to change the date

Use when the request comes inside the policy window. Offer real slots, not "when are you free?"

You → customer
No problem, [Name]. I can move you to [Tue 21 Oct, 11am] or [Thu 23 Oct, 3pm]. Your [RM50] deposit carries over. Which one?

10. Late cancellation, deposit kept

Use when they cancel inside the window. Be kind and plain.

You → customer
Sorry to hear that, [Name]. As this is inside 24 hours, the [RM50] deposit is kept, as mentioned in your confirmation. If you'd like to rebook within [2 weeks], I'll take [RM20] off the new booking.

What not to send

  • "Booking confirmed!" with no date or time. The customer screenshots it, and it proves nothing when there is a mix-up.
  • A confirmation before the deposit arrives. You lose the slot if they never pay, and you look inconsistent when you then ask for money.
  • The cancellation rule only after someone cancels. A rule they never saw reads as a penalty you made up.
  • Directions buried at the bottom of a long price message. Nobody scrolls for them while driving.
  • The door code for a homestay in the first confirmation. Send it the day before, so it isn't sitting in a chat for weeks.

Stop typing these by hand

Cupbots runs on your own WhatsApp number. It takes orders, sends invoices with a pay-link and answers "any update?" in the chats you already use, so messages like these go out on time without you.

FAQ

What should a booking confirmation message include?

The date and time, what was booked, how many people, the price and what has been paid, the cancellation rule, and where to go. Add a booking reference if you take many bookings a day. Anything the customer might argue about later, like a deposit being non-refundable, belongs in this message, not in a reply after a dispute.

Should I ask for a deposit before confirming a booking?

Yes, for anything where an empty slot costs you money: a 3-hour colour treatment, a private tour, a homestay weekend, a large table on a Saturday. Hold the slot for a fixed time, say 24 hours, and confirm only when the deposit lands. Say clearly whether the deposit is refundable and until when.

When should I send the day-before confirmation?

Send it the afternoon before, around 2pm to 5pm, so the customer still has time to reply and you still have time to fill the slot. Ask for a simple reply like YES. A message sent at 9pm is too late to rebook the slot if they cancel.

How do I write a cancellation policy without sounding rude?

State it as a plain fact with a number in it: free changes up to 24 hours before, deposit kept after that. Put it in the confirmation, not in a separate message. Customers accept a rule they were told up front far more readily than one they hear for the first time when they cancel.
