Payment received message

A payment received message tells the customer two things: the money arrived, and what happens next. Most owners send a thumbs up and stop there. That works until a deposit gets mistaken for full payment, or a customer sends a slip for a transfer that never landed. The trap is confirming too early or too vaguely. This page has messages for full payment, a deposit with the balance date, a part payment, a payment covering several invoices, an overpayment, a slip you haven't matched yet and a thank-you for a slow payer, plus four in Bahasa Malaysia.

When to send it

Reply the same day the money lands, ideally within the hour. A customer who paid and heard nothing will often pay again or call to check, and both cost you time. Confirm only after you see the credit in your bank app, not when the slip arrives. If you receive many payments, match each one to an invoice number before replying. A confirmation against the wrong order is worse than a slow one.

1. Full payment, order ships next

Use for a product order paid in full.

You → customer
Hi [Name], received [RM amount] for order [order #], thank you! We'll send it out on [date] and share the tracking number then.

2. Full payment, invoice closed

Use for a trade customer settling an invoice.

You → customer

3. Deposit received, balance due later

Use for renovation, events, custom orders and anything paid in stages.

You → customer
Hi [Name], received your deposit of [RM deposit] for [job/order]. Balance of [RM balance] is due on [date / on delivery]. We'll start [work/production] on [date]. Thank you!

4. Part payment, balance still open

Use when they paid less than the invoice, without explanation.

You → customer
Hi [Name], received [RM paid] on [date], thank you. Invoice [#INV-0123] was for [RM total], so [RM balance] is still outstanding. Could you let me know when the balance will come in?

5. One transfer for several invoices

Use when a customer pays a lump sum and you need to show where it went.

You → customer
Hi [Name], received [RM amount] on [date], thanks. I've applied it to [#INV-0121] ([RM]) and [#INV-0123] ([RM]). Both are now settled. [#INV-0125] ([RM]) is still open, due [date].

6. Slip received, not in the account yet

Use when the screenshot arrives before the money.

You → customer
Done transfer boss [slip]
Thanks [Name], got the slip. It hasn't shown in our account yet, which is normal for some interbank transfers. I'll confirm here as soon as it lands.

7. Overpaid

Use when they sent more than the invoice.

You → customer
Hi [Name], received [RM amount], which is [RM extra] more than invoice [#INV-0123]. Would you like me to refund the extra to the same account, or keep it as credit for your next order?

8. Thank-you after a late payment

Use when you had to chase. Close it warmly so the relationship resets.

You → customer
Hi [Name], payment for [#INV-0123] received, thank you for sorting it out. Account is clear now. Your next order can go out as usual 👍

What not to send

  • "Received, thanks" with no amount. If there's a dispute later, that message proves nothing about which payment or how much.
  • "Paid" in reply to a deposit. The customer will screenshot it, and you'll argue about the balance at handover.
  • A confirmation based on a slip alone. Check the bank app first, every time.
  • A thank-you that also asks for the next order. It reads like the payment was only a step to the next sale.

Stop typing these by hand

Cupbots runs on your own WhatsApp number. It takes orders, sends invoices with a pay-link and answers "any update?" in the chats you already use, so messages like these go out on time without you.

FAQ

What do you say when you receive payment from a customer?

Confirm the amount, the invoice or order number it went to, and the next step, such as the delivery date or receipt. "Received RM1,250 for INV-0412, thank you. Delivery Thursday morning" is better than "Noted, thanks", because it gives the customer a record they can search for later.

Should I confirm payment before checking my bank account?

No. A slip or screenshot is not money in your account. Reply that you have the slip and will confirm once it shows, then check your bank app. Fake and edited transfer slips do happen, and an online transfer to another bank can take time to appear.

How do I confirm a deposit without it sounding like full payment?

Write the word deposit, the amount received, the balance still due and the date it is due, all in one message. Customers screenshot your reply. If it only says "payment received", that screenshot can be used later to argue the job was paid in full.

Should I send a receipt on WhatsApp?

Yes, if the customer asked for one or pays as a company. Send the PDF in the same chat right after your confirmation message, and type the receipt number in the text so it can be searched. For individuals buying small items, the confirmation message is usually enough.
