Payment reminder message to customer

A payment reminder message to customer is the one most owners put off, then send too late and too angry. The real trap is the gap: you wait two weeks hoping the money arrives, so the first message the customer sees already sounds like a complaint. Most late payers just forgot. This page gives you a message for every stage: before the due date, on the day, 3 days late, 14 days late, 30 days late and a final notice. There are versions for a customer who promised to pay and did not, one for a part payment, and four in Bahasa Malaysia.

When to send it

Start before the money is late. A reminder 3 days before the due date gets paid far more often than a chase after it, because nobody has to admit they forgot. Send between 9am and 5pm on a working day. Avoid Friday afternoon and the day before a public holiday, when nobody in accounts will act on it. Always attach or link the invoice again. "Which invoice?" is the most common reason a payment stalls for another week.

What not to send

  • "Any update?" with no invoice number. It gives the customer nothing to act on and an easy reason to ignore you.
  • A threat in the first late message. You lose a customer who simply forgot, and you have nothing left to escalate to.
  • A final notice you won't follow through on. Next time, they'll know your deadlines are soft.
  • Reminders in a group chat. Chasing one customer's debt in front of others embarrasses them and rarely speeds things up.
  • A screenshot of the invoice without the amount typed out. Customers search chats by text, and an image can't be found later.

Stop typing these by hand

Cupbots runs on your own WhatsApp number. It takes orders, sends invoices with a pay-link and answers "any update?" in the chats you already use, so messages like these go out on time without you.

FAQ

How do you politely remind a customer to pay?

Send the reminder before the due date, not after. Name the invoice number, the amount and the date, and put the pay-link or bank details in the same message so they can pay without asking. Keep it to two or three lines. A short message with everything in it reads as admin, not as chasing.

How many days after the due date should I send a reminder?

Send one on the due date, another 3 days after, and a firmer one at 14 days. At 30 days, call or send a final notice with a clear date and what happens next. Waiting longer than a week for the first late reminder tells the customer that paying late costs nothing.

Is it rude to send a payment reminder on WhatsApp?

No, if the customer already deals with you on WhatsApp. Most small business customers in Malaysia and Singapore prefer it to email, because they see it sooner. Keep the tone the same as your usual chats, and send it during working hours, not at night or on a public holiday.

What should I write when a customer keeps promising to pay?

Quote their own promise back to them with the date they gave, then ask for one specific thing: a date and an amount. Avoid open questions like "any update?", which invite another vague reply. If the second promised date passes, move to the final notice.
