Rent reminder message to tenant

A rent reminder message to tenant is a message most landlords put off until they are annoyed, and then it comes out wrong. In Malaysia and Singapore the tenancy agreement sets the due date, any late payment interest and the steps after that, so your messages should quote it, not invent new rules. Write every reminder as if a lawyer or a tribunal may read it one day, because the WhatsApp thread is often your best record. This page has 10 templates for before the due date, on the day, late, the late charge, final notice and partial payment, plus four in Bahasa Malaysia.

When to send it

Set one reminder date each month and stick to it: three days before rent is due, mid-morning. Send to the tenant named on the agreement, not a housemate, and keep it in your one-to-one chat, not a group with other units. If a property agent manages the unit, decide who sends what so the tenant does not get two different amounts. From the first late message onward, every message should state the amount, the month and the account, so the thread can stand alone as a record.

1. Three days before it's due

What not to send

  • Threats to cut water or power, change the locks or clear out the unit. Doing it without a court order can turn your claim into theirs.
  • A late fee that isn't in the tenancy agreement. The tenant can refuse it, and it weakens the rest of your record.
  • Reminders in a group chat with other tenants or their family. It embarrasses them and can count against you later.
  • Angry voice notes. They are hard to quote, and the tone is the part people remember.
  • "Okay, pay when you can." Always agree a date, or the late month quietly becomes the new normal.

FAQ

When should I send a rent reminder to my tenant?

Three days before the due date, then on the due date if nothing has come in. Follow with a message a few days late and another around two weeks late. Use the due date in your tenancy agreement, including any grace period it gives, and send at the same time each month so it reads as routine, not as a complaint.

Can I charge a late fee on unpaid rent?

Only what the tenancy agreement allows, usually interest at a stated rate on the late amount. Quote the clause number and the figure. If the agreement says nothing about late charges, do not add one by message. Ask a lawyer or the agent who drew up the agreement before you charge anything.

Can I cut the water or change the locks if the tenant does not pay?

Do not. Cutting utilities, changing locks or removing a tenant's belongings without a court order can expose you to a claim, even when the rent is months late. Keep sending factual reminders, then a formal letter of demand, usually through a lawyer. Never threaten these steps in a message either.

Is a WhatsApp message valid as a notice to the tenant?

It is a good record that you reminded them, with dates and read receipts. Whether it counts as formal notice depends on the notice clause in your tenancy agreement, which often asks for a letter to the property address or by registered post. For a final demand, send the letter as the agreement says and mention it on WhatsApp.
